Sales Support Assistant

Ciliatech is expanding its European footprint with the launch of Intercil®, a next-generation uveal spacer for glaucoma surgery.

To support the smooth, reliable, and accurate execution of our commercial and marketing activities across Europe, we are recruiting a Sales Support Assistant.

This role is a core execution and administrative support position, designed to ensure that sales, marketing, and field teams can operate efficiently and without disruption. The Sales Support Assistant plays a critical role in ensuring consistency, accuracy, and timeliness across day-to-day commercial operations.

This position is essential to maintaining operational continuity, supporting international activities, and ensuring that processes are executed correctly and within defined budgets.

You will report directly to the VP Sales & Marketing.

Location: Lyon (Pardieu) or UK (remote).

Mobility: Some travel during team/company events and occasional visits with customers (estimated ~10%).

RESPONSIBILITIES

Sales & Commercial Administrative Support

• Provide administrative and operational support to the VP Sales & Marketing in the execution of day-to-day tasks.

• Provide execution support to the commercial sales force ( no commercial decision-making ).

• Support the administrative processing of customer sales orders across multiple countries, including:

  • Order entry

  • Stock monitoring

  • Shipment coordination

  • Internal systems updates

• Ensure accurate documentation and tracking of commercial activities.

• Process invoices and payments related to commercial and marketing activities, ensuring accurate internal record-keeping.

• Ensure strict compliance with departmental budgets when executing assigned tasks.

Events, Congresses & Logistics Support

• Coordinate logistics and bookings for industry congresses and exhibitions (venues, services, travel, hotels), strictly following defined instructions and approved budgets.

• Coordinate internal team events logistics , including bookings, payments, and basic on-site support when required.

• Liaise with external vendors and partners (event venues, suppliers, printers, logistics providers) strictly based on instructions from internal stakeholders.

• Track event-related costs and ensure alignment with approved budgets.

Marketing Materials Support

• Execute the distribution, formatting, and logistical coordination of marketing materials (print, digital, written) based on content provided by marketing and commercial teams.

• Coordinate translations into multiple languages when required.

• Prepare and update support materials strictly as instructed by commercial leadership.

• Monitor and manage surgical training inventory (drylab materials) according to predefined stock levels and instructions.

• Coordinate with internal teams and external suppliers to ensure timely availability of materials.

Required Skills & Experience

• Proven experience in an administrative / support / assistant role.

• Experience working in execution-heavy, process-driven environments.

• Solid IT skills, including strong working knowledge of MS Office.

• Strong execution discipline: delivers tasks on time and exactly as requested.

• Professional, reliable, and consistent.

• Positive, service-oriented mindset.

• Fluent in spoken and written English.

Preferred Skills & Experience

• Experience in events, logistics, or marketing support.

• Experience working with international or multi-country teams.

• Recognised qualification as assistant / administrative support.
